How to Check Your ZUS and Tax Office (US) Debts Online? A Complete Guide for Entrepreneurs

How to Check Your ZUS and Tax Office (US) Debts Online? A Complete Guide for Entrepreneurs

Running your own business comes with constant challenges, and financial problems, especially those related to arrears with ZUS (Social Insurance Institution) or the Tax Office (Urząd Skarbowy - US), can keep you awake at night. Stress and uncertainty are natural reactions, but remember: the first and most important step to solving a problem is understanding its scale.

In this guide, we'll show you how to easily and quickly check your debts with ZUS and the Tax Office, without leaving your home. This is the first step to regaining peace of mind and control over your company's finances.

How to Check Your ZUS Debts Online? Step by Step

The Social Insurance Institution (ZUS) provides the Electronic Services Platform (PUE ZUS), which is your main tool for managing matters related to contributions. For some time now, having an account on PUE ZUS has been mandatory for most contribution payers, and if you haven't set it up yourself, it has likely been created for you automatically.

Step 1: Log in to PUE ZUS

To check your debts, you need to log in to your profile on the Electronic Services Platform (PUE) ZUS. You can do this in several ways:

  • Trusted Profile (Profil Zaufany): This is the most popular method, allowing you to log in to many public services.
  • Electronic Banking: Many banks offer the option to log in to PUE ZUS directly through their online banking system.
  • e-ID (e-dowód): If you have a new ID card with an electronic layer.
  • Qualified Certificate: If you use it for other business purposes.

❗️If you don't have a PUE ZUS account yet, you can set one up using a qualified certificate or an ePUAP Trusted Profile, or in person at the nearest ZUS branch.

Step 2: Find information about your debts

After logging in to PUE ZUS, go to the "Payer Panel" tab, and then select "Current Balances". In this section, you will find a table with information about your receivables and liabilities towards ZUS. Look for the column labeled "Saldo WN" – this is where all your arrears for unpaid ZUS contributions are located.

What if I can't log in to ZUS online or have questions?

If you have trouble logging in or need further clarification, you can contact ZUS by phone, calling the hotline at 22 560 16 00. You can also arrange a meeting with a ZUS advisor for reliefs and remissions at a ZUS branch or an e-visit. ZUS advisors can help you fill out documents and present possible debt repayment terms.

How to Check Your Tax Office (US) Debts Online? It's simpler than you think!

Similar to ZUS, the Tax Office also offers convenient online tools to check your tax obligations. The main one is e-Urząd Skarbowy (e-Tax Office).

Step 1: Log in to e-Urząd Skarbowy

You can access the e-Tax Office through the official website podatki.gov.pl. You can log in in several ways:

  • login.gov.pl: This includes Trusted Profile, mObywatel app, electronic banking, or e-ID. This method gives you full access to all services and your data.
  • Tax data: You can log in by providing your PESEL or NIP number, date of birth, and the amount of income from your previous year's tax return. However, remember that this method provides limited access – mainly to the "Twój e-PIT" (Your e-PIT) service. To view full settlements, log in via login.gov.pl.

Step 2: Find information about your debts

After logging in to the e-Tax Office, you have access to personalized information. To check your settlements and any arrears:

  • Go to the "Rozliczenia" (Settlements) tab – you will find information about paid advances, tax overpayments, and the current status of your settlements.
  • In the "Historia deklaracji" (Declaration History) tab, you can check submitted tax returns.
  • Information about tax refunds can be found in the "Zwroty podatków" (Tax Refunds) tab.

What if I prefer traditional methods or have questions?

If you prefer personal or phone contact, you can submit a request for debt information directly to the Tax Office. You can do this in person, by mail, or online (e.g., via ePUAP). The office has 7 working days to prepare such a certificate.

Have you checked your debts? It's time to act and regain financial peace of mind!

Knowing the amount of your debt is a crucial, but only the first step. It's natural to feel stressed and ask, "What next?" after finding out. Remember, you are not alone, and quick, effective action will help you regain control over your company's finances and ensure your financial peace of mind.

You have two main paths ahead of you to help settle your ZUS and Tax Office arrears:

Negotiations with ZUS and the Tax Office

State institutions offer entrepreneurs the possibility to apply for a deferral of contribution payment deadlines, installment plans for debts, and in exceptional situations, even debt remission or waiver of late payment interest. ZUS employs advisors who can help you fill out documents and present possible repayment terms. This solution can be beneficial, but remember that the process of reviewing an installment plan application with ZUS can take up to two months and requires extensive financial documentation. For many entrepreneurs who need an immediate solution, this waiting period is often too long.
